Yes, every HubSpot President's Club inductee can invite one guest to join them in Aruba.  Keep in mind bed preferrences (King vs. 2 Singles) are not guaranteed but can be requested.

All RSVP's must be received by February 6, 2018.  Keep in mind this is a rolling process so the direct flights are first come first serve.

All are invited to bring your children at your own cost. 

In Special Requests of your RSVP please include that you will be bringing a child and the age.

HubSpot Presidents Club Family Policy

When you qualify for PC, you earn the right to attend, along with 1 guest, paid for by HubSpot (this means during PC-sponsored events only, which the Organizers will specify each year).

 

However, over the years, we’ve learned that HubSpotters are proud of their accomplishments, and want to share their success with their families.

 

That said, we’d like to provide you with the following guidelines, if you choose to bring your children to the event:

 

Travel
HubSpot will cover the cost of the qualifying HubSpotter, along with the cost of one chosen guest’s flight. Flights for any additional guest (children included) are the responsibility of the qualifying HubSpotter.

If your child is young enough to require a car seat, we recommend bringing your own. HubSpot will not be responsible for providing or paying for car seats.  You will also need to organize your own transfers, as the group bus transfers are not car seat safety approved.

 

Accommodations

HubSpot will pay for the contracted dates of stay for the qualifying HubSpotter, along with the chosen guest. HubSpot will not pay for a second room, nor will they pay for additional nights before or after the contracted PC dates. If there is a fee for additional guests per room, HubSpot will cover up to $50 per child per night. Please note, this will not apply if the PC event is held at an all-inclusive resort- then, it will be the responsibility of the qualifying HubSpotter.

 

Food & Beverage
HubSpot will pay for food costs of children at the Welcome Party, and the Final Dinner (if child is old enough to attend, age 16+).

 

Activities

HubSpot will pay for the activity of choice for the qualifying HubSpotter and one chosen guest. Any additional activities for children will be the responsibility of the qualifying HubSpotter, assuming the activity is suitable for the child’s age and that there is enough space to accommodate the request. Please note that qualifying HubSpotters will be allowed rights to activities before children.

 

Childcare
Childcare will be the responsibility of the qualifying HubSpotter, whether it be childcare onsite at the hotel, or babysitting services.

 

Attending PC Events
Children are welcome at the Welcome Reception, and children 16+ are welcome to attend the Final Awards Dinner.

There are two options when booking your flight to Aruba.

Corporate Travel Management will reach out to you once submitted to finalize your flights.  This service is billed directly to HubSpot and therefore no costs are out of your pocket.  When using HubSpot's Travel agent, Travel CTM, Please do not book through Concur, please use the link above.

We have set a budget banding for each region so CTM Travel will monitor and provide the flights that will be the best fit.

2) If your travel plans or your preferred flights exceed the banding costs below (or you prefer to pay personally), then you will need to book the flight directly through the airline and pay out-of-pocket, and then submit reimbursement for up to the banding limit for the round-trip ticket, per person through the HubSpot expense system, Concur.  Please make sure you tag that flight expense under Business Purpose as President's Club 2017 - Aruba.

Singapore: $3000 USD (~4050 SGD) - ** You will need to depart on April 7th for arrival into Aruba April 8th.  1 night hotel will be covered in transit.  Please reach out to Meaghan Alix as she will be booking your transit night if requested.

We have also limited the number of HubSpotters on one flight so once that flight is at capacity per the policy, you will be asked to fly an alternate route.

Please note, you will not be reimbursed for any airline or credit cards points used to purchase your airline tickets.  In order to reimbursed HubSpot will need a receipt of exact amount paid.

It is your responsibility to check the flight status of your departures.

If your flight gets delayed, you miss a connection, or canceled please work with the airline or Travel CTM to confirm a seat on a new flight.  

 

[fa icon="plus-square"] Can I come early or extend my trip?

All HubSpotters are able to extend at their own cost, but any and all additional hotel costs, airport transfers, and flight difference will be your responsibility.  

We have a handful of rooms available for early arrivals for those looking to extend at the Hyatt Regency Resort and Spa.  These rooms are first come, first serve, and will be your responsibility to cover.  Please request extensions on the RSVP form. 

If you are staying at an alternate hotel, you are responsible for your own transport.  Please do not expense this.  Also, remember that the week after our trip is school vacation in the US, and many hotels are already booked (so if you are planning to extend, book quickly!).

Each night, at the Hyatt is an additional $352++ (plus an additional 32% taxes per night).  NO FOOD OR BEVERAGE IS INCLUDED IN THE ADDITIONAL NIGHTS.

 

 

[fa icon="plus-square"] Can I book my own airport to hotel ground transportation in Aruba?

We ask all HubSpotters to use the provided transport to/from airport in Aruba if you are traveling on group dates (April 9-12 for US team, April 8-12 for EMEA/APAC Team).  If you would like to opt out from group transfers, please email Malix@HubSpot.com: otherwise, we will be expecting you at the airport.

Those who are arriving early or extending after are responsible for their own departure transfers.  Upon exiting the airport, you can easily grab a taxi to the hotel.  This should take approx 15-20 minutes and cost $25 fixed rate (up to 4 passengers).  On Sunday there is a weekend surcharge.  You may expense the $30 taxi cost with a receipt (no black car service or private transfers) per way to/from Hyatt to the airport.  Please note, ride sharing (Uber, etc) is not available in Aruba.

 

[fa icon="plus-square"] Will HubSpot cover my cell phone roaming fees?

At the Hyatt Regency, we have negotiated free wi-fi throughout the hotel for you to conduct business.  We ask you to use good judgement in expensing cell phone roaming bills.  

 

[fa icon="plus-square"] Is this hotel all-inclusive?

The Hyatt Regency Resort and Casino in Aruba is not all-inclusive; however, we have worked with them to customize a package for all of our attendees:

Breakfast is included each PC date (Mon April 9th-Thurs April 12th) at the Hyatt, along with all beverages at the Hyatt (alcoholic and non-alcoholic). The two outlets that are NOT included in this package are Kadushi Juice Bar and Shoco Market Cafe. You may use your resort credit at these outlets, but not they are not part of the all-inclusive package.

The included bars are:

Piet's Pier Bar (highly recommend for sunset)- located at end of boat pier, open 12pm-7pm

Palms Bar- a sports bar, open 10am-9pm

Al Fresco Bar- open 5pm-1am, with nightly entertainment from 6:30-9:30pm

Balashi Bar- the pool bar, open 10am-6pm

Casino Bar- open 11am-4am

For dining:

Breakfast: Ruinas del Mar is open Monday to Saturday from 7:30am-12pm, but only part of our all-inclusive package Mon April 9th-Thurs April 12th. If dining during a PC date, just sign your bill, and the cost will be taken off the room charges at check-out.

For the international early arrivals on Sunday, breakfast is served at the Palms Restaurant from 8:00am-11:30am. Again, just sign your bill and cost will be taken off the room charges at check-out.

Keep in mind: at every meal, your drinks will also be included at the Hyatt restaurant outlets, as long as they are single drinks and NOT purchased bottles (example: bottle of wine for the table). As an example, if you eat dinner at the resort, you will be responsible for the food costs, but the drinks will be part of the all-inclusive package, and therefore should not appear on your tab. 

Lunch: Each attendee will be provided a USD resort credit at check-in for your entire stay. You may use this at any of the Hyatt outlets. Remember- your drinks during lunch will be covered through the all-inclusive package, so you will just be charged for the food cost with this resort credit.

If you decide to eat a late breakfast and skip lunch, you may use this same resort credit at the gift shop on property for souvenirs, sunscreen, aloe, etc. If you forget anything at home, the gift shop should have it on site. If not, there are endless amounts of stores directly across the street. 

Dinner: For your one free middle night dinner, you may use the HubSpot-provided USD upon arrival. If you use this to dine at the hotel, your drinks will be included. If you dine outside the hotel, you will need to cover your own drinks with the cash provided. There are endless amounts of restaurants, from fast food to fine dining, all within a 5 minute walk of the hotel.

 

 

[fa icon="plus-square"] Do we need to bring adapters to charge our electronics?
Aruba uses US plugs so Dublin, Berlin, Sydney, Singapore and Tokyo will need to bring their own adapters.
[fa icon="plus-square"] What do I need to pack?

The weather in Aruba in April can range from 68 degrees (F) to 88 degrees (F).  It can get cool at night (high 60's) or in the casinos/indoor restaurants, so please pack accordingly.  

Aruba is a casual island- sandals are okay for all events.

The farewell dinner will be on the sand so shoes are optional, we recommend Caribbean Chic for that event (linens, maxi dresses, etc).

We recommend packing extra sunscreen, a long sleeve shirt and hat.  By day #2, you will thank us for these suggestions. The sun is extremely hot in Aruba.  We will be providing daily shade in a cabana area, but it is still important to reapply sunscreen multiple times thoughout the day!  

 

 

[fa icon="plus-square"] Do I need a passport? or Visa?

Yes, all guests attending the trip need a valid passport that does not expire for at least 3 months AFTER the trip. 

Visas are not required for anyone holding a passport from the country of our 6 office locations. 

 

 

 

[fa icon="plus-square"] What if I want to participate in two activities?

Unfortuantely, due to the busy itinerary, we are unable to meet requests for two activities..

In the past, we've had many requests for golfers to participate in an additional activity with their guests, but unfortunately this year golfing also coincides with alternate activities.  

 

 

 

 

 

[fa icon="plus-square"] I am unable to attend the trip, what do I do?
If you were awesome in 2017 and earned a spot at PClub but are unable to attend this year's trip to Aruba for any reason, please let us know asap and we will provide you with a $1200 USD AMEX gift card. ** You will still receive your crystal award, and you, the employee will receive their personal gift of the year . **
 
Please note that your spot will not be given to anyone in your place and we'll need to know your intentions by "February 1st"
[fa icon="plus-square"] If the itinerary changes, how will I stay updated?

There will be two options.

1.  All updates and changes will be communciated to you through email in a timely manner.  This means you should be using the hotel wi-fi once a day to check for any updates or special events added.

2.  We will have a daily HubSpot headquarters located on property at Hyatt Aruba.  There will be a staff on hand to answer any questions from 10am-4pm each day.  Locations will be shared on this website once finalized.
