Yes, every HubSpot President's Club inductee can invite one guest to join them in Cancun, Mexico.  Keep in mind bed preferrences (King vs. 2 Doubles) are not guaranteed but can be requested. 
[fa icon="plus-square"] When must we RSVP by?

All RSVP's must be received by January 12th.  Keep in mind this is a rolling process so the direct flights are first come first serve.

Also spa times will be booked based on when the availability selection is returned.

 

 

[fa icon="plus-square"] Are children invited? / Options for babysitting services?

Yes we have changed our policy.  All are invited to bring your kids at your own cost.

Children under 4 are free. 

Children 4-17 are $58 per night per child in this category using current bedding in room. 

There is a kids club with many activities.  Those 4-17 do not need adult supervision in the kids club as they have staff members to entertain.  Children under 4 can use the kids club with parent.

Kids 16+ are invited to all HubSpot hosted events.  Kids under 16 can join the welcome party on 3/1 and the first hour of the final dinner event on 3/3 (we do ask for no kids past 8pm on 3/3).  Kids are invited on the HubSpot hosted boat trip. 

In Special Requests of your RSVP please include that you will be bringing children and the ages.

Please keep in mind, we are staying at the Hard Rock Hotel Cancun so there will be music playing by the pool during the days.  It is a small intimiate property and HubSpot will be hosting 2 outdoor events Tuesday and Thursday nights which can lead to noise from the bands.

Hard Rock works with a certified child care agency called Cancun Nanny Service.  They can reach this service with at leats 4 hours in advance of the desired service time. Prices are 15 usd per hour with a minimum of 4 hrs service. Prices may change. This service can be paid fully in cash or room charge. Room charge will apply a 16% tax. Services after 6pm will add a 10 dollar charge for the Nanny's taxi ride.

All flight details have been emailed to all HubSpotters.  If you do not have your flight details please contact Marci@ExecutiveGroupTravel.com immediately.  

 

It is your responsibility to check the flight status of your departures.

 

 If your flight gets delayed, you miss a connection, or cancelled please work with the airline to confirm a seat on a new flight.  

 

[fa icon="plus-square"] Can I come early or extend my trip?

There will be NO early arrivals into Cancun due to end of month obligations for US employees.  Ireland and Australia will be provided one night early arrival on February 29th if they wish. 

If you are interested in extending your trip this is first come first serve for room availability at the discounted room block rate.  We currently have 16 room extensions available (2 guests per room) for 1 night only at the Hard Rock Hotel with 32 return direct flights on JetBlue on Saturday March 5th. 

Saturday JetBlue Flight Information; Depart Cancun 5:30pm, Direct Flight, Arrive Boston 9:34pm

Based on availbility we can add additional rooms to our Hard Rock Hotel room block until March 7th.  We also have a small flight block for Monday March 7th arrivals back to Boston. 

Monday JetBlue Flight Information; Depart Cancun 4:06pm Direct Flight, Arrive Boston 8:10pm

Sunday returns are very difficult due to limited flights.  We will try to work with you on finding availability but that flight will NOT be a direct flight.  All extensions have a max one way return budget of $350. 

To extend your stay at the Hard Rock Hotel (based on availability) the cost is $537 per night (2 adults) for a Deluxe Platinum Oceanview Room.  Please keep an eye out for emails requesting to extend. 

 

You also have the option to fly elsewhere instead of your flight to Boston, again this is based on budget allocation of $250 max one way per person. 

 

[fa icon="plus-square"] Can I book my own airport transportation in Cancun?

All HubSpotters and Guests are required to travel on the provided transportation to and from the Cancun Airport if you are traveling on HubSpot sponsored flights (International Team 2/29 arrival, domestic team 3/1 arrival, 3/4 departures for everyone).  

Those who are extending past Saturday or not staying at the Hard Rock Hotel will not be given departure transports (just arrival).  This return transport will be at your own cost.  HubSpot is only providing round-trip transport to and from the Hard Rock Hotel in Cancun!  Please do not expense this item. 

** If you are coming early or not flying with the group flight then transportation will be your own responsibility.  Again, HubSpot will only be covering International arrivals on 2/29 and Domestic arrivals on 3/1.

The rates loaded in the mini site have a 10% discount included already. The regular rates for 1 to 3 passengers to Hard Rock Cancun are $35 usd the one way service and $55 usd the round trip service, in the mini site you will find them as $32 usd and $50 usd respectively.

The mini site will only allow to book service to Hard Rock Cancun; please ask the passengers that are going to a different hotel to book it to Hard Rock and just at the end of the booking process add the note in the remarks box naming their actual hotel, just consider that the rate is valid for hotels located in Cancun Hotel zone and Cancun Downtown area, if they go to Puerto Juarez or Riviera Maya the rate will change.

 

 

[fa icon="plus-square"] Will HubSpot cover my cell phone roaming fees?

At the Hard Rock Hotel, we have negotiated internet free of charge along with unlimited long distance telephone calls to the Continental US, Canada, and Mexico.  Please do not expense cell phone charges while traveling in Mexico. 

Verizon has a new TravelPass option in which you can use your phone without roaming fees for $2 per day.  Please call your local provider to inquire about options is interested.

 

 

[fa icon="plus-square"] Can you make reservations for the speciality restaurants?

No, all specialty restaurants at Hard Rock Hotel Cancun are first come first serve. 

 

If you are looking for an off-site dinner reservation please speak to the hospitality desk to book that for you.

[fa icon="plus-square"] Do I need to tip?

At the Hard Rock Hotel in Cancun ALL TIPS are included. 

HubSpot will be handling tips with the transfer companies and all activities (spa included).  

The only time HubSpotters are excepted to tip (and only for good service) is if you chose a second activity.  Please tip directly on the activity that you covered. 

[fa icon="plus-square"] Do I need a passport? or Visa

Yes, all guests attending the trip need a valid passport that does not expire for at least 6 months AFTER the trip. 

Please make sure your RSVP information matches your passport. 

When you enter Cancun you will be asked to complete an Immigration form. You must KEEP this completed form and hand it in on your departing flight.  Please do not misplace this document. 

No US or Irish passport holders will need a Visa to enter Cancun!  You will need a machine-readable passport (usually 2005 and newer).

If you have an AUS passport you do not need a Visa for Cancun but you will be flying through the US so some of you will need ESTA.  For each person it is different as some of you have recently been in the US (within 2 years) and it is not required again.

It is your responsibility to ensure you have the proper paperwork.  If you or your guest holds a different passport make sure you find out what is required.
 
The cost for the ESTA is $14 per person so please just expense that for you and your guest through the HubSpot expense process.

We've had many requests for golfers to participate in an additional activity with their guest last year, covered at their own expense.  Please send all requests to Marci@ExecutiveGroupTravel.com and we will get you confirmed at an additional charge to be covered by you (subject to availability). 

All guests can request to participate in two activities and based on availability we will do what we can to get you confirmed.  HubSpot has sponsored a portion of a second activity to keep costs low to the attendees. 

All second activities are confirmed and the additional cost is $35 per person to be paid to Executive Group Travel.  Link was provided through email.

 

 

 

 

[fa icon="plus-square"] If the itinerary changes, how will I stay updated?

There will be two options.

1.  All updates and changes will be communciated to you through email in a timely manner.  This means you should be using the hotel wi-fi once a day to check for any updates or special events added.

2.  We will have a daily HubSpot headquarters located on property at the Hard Rock.  There will be a staff on hand to answer any questions from 9am-6pm each day.  Locations will be shared on this website once finalized.
