All RSVP's must be received by January 25th. Keep in mind this is a rolling process so the direct flights are first come first serve.
All are invited to bring your children at your own cost. Unfortunately per hotel policy you can only have 3 guests max in each room (including children). Or 2 adults, 1 child and one infant using a crib. It is impossible to have 2 adults and 2 children over the age of 3 in your room. You would need to pay for an additional room in which we can request it to be connecting.
Given the small number of twin bed rooms on property the HubSpotters who brings friends/siblings will be given first priority.
Kids 16+ are invited to all HubSpot hosted events. Kids under 16 can join the welcome party but that is it.
In Special Requests of your RSVP please include that you will be bringing a child and the age..
No attendees may leave their home office before Friday March 31st at 6:00pm (due to end of month obligations).

We have set a budget banding for each region so CTM Travel - Travizon will monitor and provide the flights that will be the best fit.
Boston banding limit is $700 Round-Trip Per Person (includes booking fees).
Dublin banding limit is $250 or 235 EUROs Round-Trip Per Person (includes booking fees).
Sydney banding limit is $2000 USD or 2700 AUD Round-Trip Per Person (includes booking fees).
Singapore banding limit is $1200 Round-Trip Per Person (includes booking fees).

If you are requesting a flight OVER the banding budget you will need to pay for the flight directly and only expense the banding budget back to HubSpot.

Sydney attendees: Return flight from Lisbon to Sydney has an overnight in Dubai (hotel will be covered).

You can choose an alternate return destination such as Barcelona, Paris, Amsterdam, etc (multi-city round-trip ticket) that has a quick 2 hour layover. HubSpot will not cover any additional hotel nights for these destinations.
Boston Attendees:
A) email Corporate Travel Management (use "grouphubspot@travelctm.com"), and if the cost is under $672, they will book it for you, or
B) if your travel plans exceed $672, then you will need to book the flight out-of-pocket, and can then reimburse for up to $700 for the round-trip ticket, per person through the HubSpot expense system, Concur.

If your flight gets delayed, you miss a connection, or canceled please work with the airline or Travel CTM to confirm a seat on a new flight.
We ask no HubSpotters to depart their home office before March 31st at 6:30pm.

All HubSpotters are able to extend at their own cost, all additional hotel costs, airport transfers, and flight difference will be your responsibility.
We have a handful of rooms available for early arrivals on April 1st or those looking to extend at the Four Seasons in Lisbon for a preferred rate of 250 EUROs. This includes breakfast and all taxes. These rooms are first come first serve and will be your responsibility to cover. Please request extensions on RSVP form.
If you are extending but not staying at the Four Seasons, you are responsible for your own airport transfers.
HubSpot is organizing and paying for April 1st airport arrivals to Four Seasons, April 2nd airport arrivals to Four Seasons and April 3rd Four Seasons arrivals to Four Seasons. For departures, HubSpot is covering April 6th and 7th departures from Four Seasons to airport only.
If you are extending your stay or staying at an alternate hotel, you are responsible for your own transport. Please do not expense this.
We ask all HubSpotters to travel on provided transport to/from airport in Lisbon.
Those who are extending past Thursday are responsible for their own departure transfers.
If you are arriving before the morning of April 2nd you will also be responsible for your own transport (exception Boston Tap Portugal flight arriving to Lisbon April 1st).
If you are not traveling on the covered dates, the trip to the airport is less than 15 minutes and should not cost more then 15 EUROs.
At the Four Seasons Lisbon, we have negotiated free wi-fi throughout the hotel for you to conduct business. We ask you to use good judgement in expensing cell phone roaming bills.
All HubSpotters will be able to pickup their EURO's on site at the Four Seasons at Sunday's Welcome Brunch. For the Dublin team arriving Monday, you will be able to pick them up at check-in.
Every HubSpotter will be required to sign for the pickup and you must be in person to pick them up! No asking friends.
Keep in mind this will be treated as income for payroll purposes so you will be responsible for the taxes on the cash distribution at the end of the year.
All Four Seasons rooms have at least 1 US socket with 110V electricity so you can charge your devices without any issues. The rest will be 220V European sockets and your US plugs will not fit. If you require more than one socket and you are from the US please bring an additional adapter with you.
Given we are such a large group the hotel will not be able to meet our needs in terms of additional adapters.
Australia and Singapore we recommend bringing your own adapters.
The weather in Lisbon in April can range from 75 degrees (F) to 45 degrees (F). It will get cool at night so please pack accordingly. We also recommend bringing a rain coat to be prepared in case of rain.
For the two main evening events (Welcome Cocktail Reception and Final Awards Dinner) we do ask for no sneakers or shorts. For Sintra Day since you will be exploring Quinta da Regaleira so we recommend boat shoes, casual loafers or some type of comfy shoes. The lunch event is at a 5 star hotel so please no tee-shirts (golf shirts are recommended).
Also if you are participating in the walking tour we recommend sneakers. Lisbon is a vast city and you will put ~4 miles that day!
Yes, all guests attending the trip need a valid passport that does not expire for at least 3 months AFTER the trip.
Visas are not required for anyone holding a passport from the country of our 5 office locations.
Nationals of Australia, Canada, Singapore, Japan and the USA can stay for up to 90 days without a visa. EU nationals can stay for an unlimited period, but must register with the local authorities after three months. If you have a passport issued from an alternate country it is your responsibility to research your Visa requirements and complete necessary documentation.
Unfortuantely due to the busy itinerary we are unable to meet peoples request for two activities given the timing overlaps.
In the past, we've had many requests for golfers to participate in an additional activity with their guests, unfortunately this year golfing also coincides with alternate activities.
You will be able to enjoy the Sintra day with your guest and also the local Lisbon tours.
There will be two options.
1. All updates and changes will be communciated to you through email in a timely manner. This means you should be using the hotel wi-fi once a day to check for any updates or special events added.
2. We will have a daily HubSpot headquarters located on property at Four Seasons Lisbon. There will be a staff on hand to answer any questions from 9am-6pm each day. Locations will be shared on this website once finalized.
